Kisii University Innovation Week is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect information about you when you use our platform.

We collect information you provide directly when you register to attend, apply as an exhibitor, cast votes where permitted, submit contact requests, or interact with event materials on the platform. This may include your name, email address, phone number, institution, role, attendance dates, innovation details, uploaded files, and any details you include in forms or messages. We also collect limited technical information such as IP address, browser type, device characteristics, session timestamps, and platform activity logs needed for security, fraud prevention, and service reliability.

2. How We Use Your Information

We use your information to manage registrations, generate gate passes and QR codes, administer exhibitor review workflows, coordinate programme communications, support judging and voting features, respond to support requests, and operate the Innovation Week website securely. We may also use data to produce event administration reports, monitor misuse, and improve future editions of the platform and event experience.

3. Legal Basis and Event Operations

We process your information because it is necessary to administer your participation in the event, comply with institutional obligations, protect the platform, and carry out legitimate event-management activities. Where a consent checkbox is presented, we rely on that consent for the specific processing described there, and you may withdraw that consent subject to operational or legal limits.

4. How We Share Information

We do not sell your personal information. We may share relevant data with authorized university staff, event administrators, validators, judges, or service providers only where necessary to run the event and its platform. For example, exhibitor submissions may be reviewed by authorized reviewers, and gate validation data may be visible to approved validation staff. We may also disclose information where required by law, regulation, court order, or to protect the security and integrity of the platform.

5. Cookies, Analytics, and Security Logs

The platform may use cookies, browser storage, and similar technologies to maintain sessions, remember preferences, improve usability, and support security controls. We also keep operational and audit logs such as authentication events, administrative actions, and gate validation activity to detect misuse, investigate incidents, and maintain accountability across the system.

6. Data Retention

We retain information only for as long as it is reasonably necessary for event administration, reporting, institutional record-keeping, dispute handling, and security review. Retention periods may differ depending on the type of record, such as registrations, audit logs, uploaded materials, voting records, or support requests.

7. Your Rights and Choices

Subject to applicable law and university policy, you may request access to the personal information we hold about you, request correction of inaccurate data, ask us to delete or restrict certain information, or object to particular processing activities. Some records may need to be retained for security, compliance, or event administration reasons even after such a request.
